CA Start of Year: A Quick Guide

Below you'll find information to help you begin the 2017-2018 school year at Canadian Academy. Most of the information linked below is not password protected, but some of the information is located behind the Parent Portal, so you will have to use your user name and password. For new families, these will be emailed to you before the start of school in August. Information particularly relevant to new families is included at the bottom of this page.


Orientation for new students and parents

Student orientation falls on Wednesday, August 23, for all new students although the experience is different for Elementary School students and Secondary School students. On Wednesday at 10:00am, all new Elementary School parents will gather in the Atrium and then meet the grade level team in the classrooms. At 10:30am, Elementary School parents will meet with the Elementary School leadership team. At 11:10 Secondary School parents will gather in the P&G Black Box Theater (BBT) and meet with the Secondary School leadership team, while Student Body Council (SBC) will take Secondary School students on a tour of the school. Secondary School parents will remain in the P&G Black Box Theater and hear more from the leadership team as well as the counselors. In between 10:00 to 12:20, parents are invited to visit the school cafeteria for PE Kit (Secondary School), Cezar’s Kitchen account, as well as assisting access to the school’s website and bus transportation registration.

New Secondary School (grades 7-12) students Tech Orientation

Tuesday 22 August, P&G Black Box Theater, in the ELAC Building

New Secondary School students and their parents will have an additional tech orientation a day earlier on Tuesday, August 22nd. This orientation is in the P&G Black Box Theater on the second floor of the ELAC building, and will begin at 1:00pm, lasting for about an hour. Please bring your laptop to this session, as we will be setting it up for school use.

An additional tech orientation for new parents has been scheduled for the morning of Thursday, August 31st. This will follow a PTA sponsored New Family Welcome in the P&G Black Box Theater. This tech orientation will focus on accessing the school web site, accessing your child’s grades, as well as learning to live with a ‘plugged in’ teenager.




First Day of School, Thursday, August 24, starting at 8:30

School starts at 8:30. School ends at 3:25 on Monday, Tuesday, Thursday, and Friday. On Wednesday school ends at 2:25. Students in the ELAC have a shortened day schedule at the beginning of the year

Elementary School Listening Conferences

These conferences will be 10 minutes each, and parents will be able to talk to their child’s classroom teacher to share insights about their child. You will be able to sign up for conference times at the Elementary School Open House on Wednesday, August 23.

  • Pre-K, KA, KB: 1:00pm - 4:00pm on Thursday, August 24 and Friday, August 25 (regular school day for grades 1-5).
  • Grades 1-5:  1:00pm - 4:00pm on Friday, August 25 and Friday, September 1 (regular school day for grades 1-5).

Back to School Nights in the Main Theater

Parents come to school and meet the teachers of their child(ren) while learning about the class and expectations.

Communication and Technology

Communication with our school community is almost exclusively online through the CA website. Here you will find our school calendar, news stories about events and learning as well as other information about CA. Please check the homepage regularly for up-to-date information and announcements. In addition, you can send the CA News Headlines directly to your email as well. Your child's class information can be accessed in the Parent Portal

  • For any technology help, please join us each week in the Secondary School Library on Mondays at 3:30pm.
  • In order for us to communicate effectively, please make sure the school has the most up-to-date email and mail addresses.

Important Dates

CA's All-School Calendar can be found here. This calendar can be modified to only show those events that are relevant to you and your family.

Access to Campus

CA has a single start time for all students each day at 8:30am. All school entrances will be open at 8:00am. After 8:30am daily, all students, parents and visitors can only enter the building through Reception, which is located on the first floor to the left of the front stairs or through the ELAC entrance. Visitors will be given an identification badge before entering the building, and these badges must be worn during the entire visit to CA.

During the school day all first floor doors in the Main Building need a key to exit and enter. If you need to leave the Main Building, please do so from Reception on the first floor or through the Atrium doors on the 2nd floor. 

Emergency Closure Procedures

Although we hope that CA does not experience emergencies, it is important that the school, faculty, parents and students are informed and prepared. 

CA generally follows the actions of Kobe City officials in deciding whether to cancel school. As soon as the decision has been made to cancel school, a notice will be placed on the school's homepage under the News Headlines. We make every attempt to post the message before 6:00 am.

Please make sure that the school has the best and correct email address for the family as important messages related to school closures may also be sent directly to your email as well as posted on the homepage.

Personal Preparation Kits

CA has recently reviewed and updated its emergency procedures. As part of its emergency protocol, CA maintains an inventory of food and water for 800 people for three days in addition to first aid kits and other emergency supplies.

In addition, to these large scale supplies that the school is preparing, each student at CA, PreK-3-Grade 12, bring in a personal preparation kit as part of their start of school supplies. This kit should have the following in it:

  • Bottle of water
  • Cereal bar / granola bar / nuts / dried fruit or really any other nutritious food that does not have to be cooked
  • A small 100 yen flashlight and batteries with batteries stored outside the flashlight

This personal preparation kit will be stored in the homeroom/advisory classroom. At the end of the year, the student will take the personal preparation kit home. 


Please visit the Activities page to find out about CA Athletics, Performing Arts, Clubs and Community Programs. Fill out the form(s) if your child is interested in participating in MS Athletics or HS Activities. In addition, here is information related to the cost of MS and HS Activities. Information about ES and MS Clubs will be shared with students and parents after school begins. For the MS Athletics and HS Activities forms you will need your user name and password. These will be emailed to you before the start of school in August.

Supply Lists

To help you prepare for the 2017-2018 school year, we have created a supply list for the elementary schoolmiddle school, and high school. Students in the high school need to bring their laptop with the recommended software suite. In addition, high school students need to bring a TI-Nspire "non-CAS version" graphing calculator (available from or for purchase from the school). Further supplies will be shared with high school students during the first few days of classes.

Food Services

Canadian Academy has an active Parent Teacher Association (PTA) that organizes events, runs a Booster Club, and funds special projects and lasting gifts. Learn more about the PTA here, and volunteer with the PTA by filling out this form.

New Families: Health Services

Please make sure you have completed all of your health requirements, which can be found here.

All new students entering CA are required to have all immunizations up to date according to their age. Copies of all vaccines received must be submitted to the health office for verification. Please see here for the vaccine requirements for CA.

New Families: Buses and laptops

Please fill out this form if you'd like to sign up for a school bus.

Please go to CA's Apple portal  if you're interested in purchasing an Apple laptop or other products from the Apple online store for your student. 

New Families: Summer Assignments for Secondary School (Grades 6-12) English Classes

Middle school and high school students are required to complete an assignment prior to the start of school on August 24. The assignments can be found here. You can collect the video or book from the Admissions Office. If you live in Japan, we can send them to you; however, if you live overseas, we ask that you purchase the materials you need. If you need to arrange pick up of the materials, please contact the Admissions Office.

New Families: Course Selection for Secondary School (Grades 6-12)

If your child has not yet met their school counselor to determine the courses he/she will be taking, please first download, complete and send the relevant course request form by fax at your earliest convenience.

High School Course Registration Information

Grade 11 and Grade 12 students will receive a course selection form when they see the counselor.

The next step is a meeting with your child and their counselor. At that time we will talk about his/her courses, develop their schedule and answer any questions you or your child may have about CA.

Please call or e-mail Ms. Takiyama, the Counseling Office secretary or phone 078- 857-0100 to arrange an appointment starting August 15. Depending on the schedule, counselors could also be available in early June.

New Families: Official Transcripts / Final Grades

Students starting Grades 10-12 will need to submit an official transcript that includes the grades for their final semester at their previous school. University applications will require CA to send official documents for all grades 9-12.

All students that have been accepted to Canadian Academy must submit their final grades to the Admissions Office when they become available.
